This notice describes how SIMAKS IT SOLUTION LTD (“we”, “us”) processes personal data when you visit simaks.uk or request field IT support.

1. Controller

The controller is SIMAKS IT SOLUTION LTD, registered in England and Wales. Registered office: Unit A1253, SIU Office, 4–6 Greatorex Street, London E1 5NF, United Kingdom. Contact: hello@simaks.uk.

2. Swiss field visits

When we process personal data from work in Switzerland (visitor names, access lists, photos that may include people), we also observe the revised Federal Act on Data Protection (nFADP). The controller remains the UK company above.

3. Data we collect

  • Contact form: name, company, email, site location, service requested, and message content.
  • Technical data: IP address, browser type, and basic server logs required to operate and secure the website.
  • Hosting metrics: anonymous page views and performance data via Vercel Web Analytics and Speed Insights. See the cookie notice.

4. Purposes and legal bases

  • Responding to support requests and preparing proposals — UK GDPR Art. 6(1)(b) (pre-contractual steps) and Art. 6(1)(f) (legitimate interest in answering business enquiries).
  • Operating, securing, and improving the website — Art. 6(1)(f).
  • Legal obligations (accounting, tax, Companies Act) — Art. 6(1)(c).

5. Recipients

Data is processed by Simaks staff who need it. Our website is hosted on Cloudflare. Form or email providers may process enquiry data as processors. We do not sell personal data.

6. International transfers

If a processor is outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum where required.

7. Retention

Enquiry data is kept for up to 24 months after last contact, or longer if needed for a contract, claim, or legal duty. Server logs are typically retained for 30–90 days.

8. Your rights

You may request access, rectification, erasure, restriction, objection, and data portability, and you may withdraw consent at any time. You also have the right to lodge a complaint with the ICO (ico.org.uk). To exercise rights, email hello@simaks.uk.

9. Security

The site is served over HTTPS. Access to enquiry mailboxes is limited to authorized staff.
